1. Collection and use of personal information
Personal information obtained from customers shall be limited to what is necessary to fulfill the use purpose we declare and specify to customers beforehand. In the case we need to use this information beyond the specified purpose, we will inform (notify) customers of the facts and ask for agreement.
Our Office collects Customers' personal information upon obtaining their agreement after clearly specifying the purpose of use and the reasons for requesting such information. In the case a customer does not agree to provide personal information, please understand that some of our services will not be available.
2. Purpose of use personal information
Our Office will use personal information obtained from customers for the following purposes.
(1)Arranging and providing message delivery
(2)Sending or shipping of Japanese paper "Washi"
3. Disclosure or provision of personal information to third parties
Our Office may provide Customers' personal information such as names, addresses, telephone numbers to third parties, in the scope defined in Article 2 and Paragraph 3 of Article 5.
4. Management of personal information
Our Office will strive to ensure that Customers' personal information is up-to-date and accurate as well as to take the following measures for its safe and secure management.
Our Office will take preventive measures and corrective measures against any unauthorized access to Customers' personal information, leakage, loss, or malicious destruction of data.
Our Office will conduct necessary education and supervision for our employees regarding protection and appropriate handling of Customers' personal information.
In the case of outsourcing some of our operations to subcontractors, we will enter into contract with them for safe management of personal information protection. We exercise necessary and appropriate supervision over subcontractors to make sure that Customers' personal information is safely and securely managed.
Our Office will conduct regular checks to assess the Management System (our office's personal information protection measures) and to improve safety precaution.
5. Special Conditions for Members Resided in EU (Member State of EU, Norway, Iceland and Liechtenstein. The same shall apply hereinafter.)
Our Office shall appropriately maintain and control the registration information given by Members, and shall comply with the Personal Information Privacy Policies set forth by us, and laws and regulations applicable to the Service.
Our Office shall designate one or more data protection officer(s), who ensures that the provisions of the laws and regulations applicable to the Service are applies and advised us on fulfilling its obligations regarding protection of Members personal information.
5.1 Purpose of Use
For receiving and replying to messages, we shall collect the following personal information from Members:
(i) Name;
(ii) Email address;
(iii) Contact information, such as address and telephone number; and
Our Office shall use Members personal information for the purpose of correspondence with Members, arrangement for the Service Members applied for, and provide the Service. For more details, please refer to the Article 2 hereof.
5.2 Non-Disclosure
Our Office shall not disclose, divulge nor transfer to any third party the registration information given by the Members through the process of Services, unless specified for the provision of the Article 5.3 below.
5.3 Derogations for Specific Situation
The Members information may be disclosed or transferred to any third party:
(i) When the Member has explicitly consented to the proposed transfer, after having been informed of the possible risks of such transfers for the Members due to the absence of an appropriate safeguards;
(ii) When the transfer is necessary for the performance of a contract between the Member and us or the implementation of pre-contractual measures taken at the Member's request;
(iii) When the transfer is necessary for the performance of a contract concluded in the interest of the Member between the controller and another natural or legal person;
(iv) When the transfer is necessary for important reasons of public interest;
(v) When the transfer is necessary for the establishment, exercise or defense of legal claims; or
(vi) When the transfer is necessary in order to protect the vital interests of the Member or of other persons, where the Member is physically or legally incapable of giving consent.
5.4 Period of Keeping the Personal Information
Members personal information shall be kept during two years from booking of the Service, and after that we shall delete or destroy appropriately.
5.5 Statistics
The Members information may be disclosed or transferred to a third party when we discloses statistical personal information (exclusive of information that could identify an individual) gathered in order to conduct an analysis of the Services. In case the Member do not agree to the disclosure for such purpose, please contact to our officer provided in the Article 6 below.
5.6 Safeguarding Information
Collected personal information may be stored on a computer of the external subcontractor acting as processor, who has to guarantee the data protection and confidentiality in accordance with our privacy policy, applicable laws and regulations.
6. Inquiries concerning personal information
In the case of requesting confirmation, notification or disclosure of use purpose of Customers' personal information (any and all information pertaining to any Customers' name, address, telephone number, e-mail address, etc. by which such customer can be identified) that we possess, its correction, supplementation, deletion, or suspension of use or suspension of provision to a third party, please contact the following contact points. Necessary guidance for procedures will be provided. We take necessary action without delay in accordance with relevant laws and our office's regulations. In the case that we are unable to meet all or some of Customers' requests, we will provide the reasons.

7. Security of our website
Our Office is committed to ensuring that personal information of our customers registered to our website is appropriately managed and protected from any leakage. We employ encryption technology called SSL (*1) so that personal information transmitted through our website is secured and protected. We also prevent any unauthorized access to our site by using specialized technology called a firewall (*2).

9. Applicable laws of our website
Our Office's website can be accessed from countries all over the world which may have different laws and regulations. However, the use of our website shall be governed by and construed in accordance with Japanese laws and regulations. Therefore, no access shall be allowed to our site from countries and regions where any content of our site violates the respective laws and regulations of such countries or regions.
10. Court of jurisdiction
Any dispute over the handling of personal information that needs to be resolved by arbitration or judicial action shall be submitted to Tokyo Summary Court or Tokyo District Court as the court of first instance.
11. Revision
This document was revised on January 1, 2017. Our Basic Privacy Policy may be modified in order to maintain and improve our handling of Customers' personal information and to comply with any changes in the relevant laws and regulations.
