Terms & Conditions for Travel and Accommodation

This is a summary of the essential terms and conditions for your bookings through Nippon Travel Agency Co., Ltd. (NTA).

1. Application & Contract Establishment

• The contract enters into effect when NTA has accepted the reservation and received the full payment via the online system.
• If payment is not completed by the specified deadline, the reservation will be automatically treated as canceled.

2. Fees & Exclusions

• The fees include taxes and service charges as specified on the booking page.
• Personal expenses (e.g., mini-bar, laundry, telephone calls) are not included and must be paid directly at the hotel.

3. Modification & Cancellation

• You may cancel or modify your booking at any time via the online system prior to the deadline.
• Cancellations are subject to the cancellation fee policy clearly stated on the booking portal.
• Refunds, minus any applicable cancellation fees, will be processed to the original credit card used for payment.

4. Liability & Disclaimer

• NTA and the organizing committee are not liable for damages, delays, or cancellations caused by force majeure, including natural disasters, extreme weather, strikes, war, or government orders.
• Participants are responsible for any damages caused to the accommodation or service providers intentionally or by negligence.

5. Privacy Policy

• Your personal information will be used strictly for arranging your accommodation, tours, and managing your conference registration.
• Information may be shared with hotels and relevant service providers only to the extent necessary to fulfill your bookings.
